Last updated: 2026-02-04

These Terms of Service (“Terms”) govern your access to and use of the SeatCanvas website, application, and services (collectively, the “Service”). By accessing or using SeatCanvas, you agree to be bound by these Terms.

If you do not agree to these Terms, do not use the Service.

1. Service Provider

SeatCanvas is currently operated under the name SeatCanvas (placeholder legal entity) (“SeatCanvas”, “we”, “us”, or “our”).

Contact: hello@seatcanvas.app

2. Description of the Service

SeatCanvas is a web-based tool that allows users to create, manage, and export seating charts and event layouts for weddings and other events. Features may include interactive layout design, guest list management, and export of plans in formats such as PDF or CSV.

SeatCanvas is a planning and visualization tool only. We do not provide event coordination, venue services, or guarantees regarding real-world execution.

3. Eligibility

You must be at least 18 years old (or the age of legal majority in your jurisdiction) to use the Service. The Service is not intended for minors.

By using SeatCanvas, you represent that you have the legal authority to plan or manage the event for which the Service is used.

4. Accounts and Access

4.1 Free Tier and Guest Access

SeatCanvas may be used without creating an account, subject to free-tier limitations.

4.2 Registered Accounts

Creating an account does not automatically grant access to all features. Some features require a one-time payment. Accounts without payment remain subject to free-tier limits.

You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.

4.3 Communications

We may also send marketing or promotional communications in the future; where required, you will have the ability to opt out.

5. Purchases, Payments, and Refunds

5.1 Payments

SeatCanvas currently offers one-time purchases to unlock additional features. Subscription-based plans may be introduced in the future, particularly for professional event planners.

Payments are processed through third-party payment providers. SeatCanvas does not store payment card information.

5.2 Refund Policy

SeatCanvas offers a 7-day discretionary refund window from the date of purchase.
Refund requests are reviewed on a case-by-case basis and are not guaranteed.

SeatCanvas reserves the right to deny refund requests, including but not limited to cases where:

  • The Service has been substantially used
  • Exports or deliverables have already been generated
  • Abuse or misuse is detected

Refunds required by applicable law will always be honored.

Approved refunds are processed immediately through our payment provider. Depending on the customer’s bank or card issuer, refunded funds may take 5–10 business days to appear on the original payment method. We do not control bank processing times.

6. User Content and Data

6.1 Ownership

You retain ownership of all content you create or upload to the Service, including seating layouts, guest lists, and event data (“User Content”).

6.2 License to Operate

You grant SeatCanvas a limited, non-exclusive license to store, process, and display User Content solely to operate and improve the Service.

SeatCanvas does not sell User Content.

6.3 Privacy

Our collection and use of personal data and cookies are described in our Privacy Policy.

7. Data Retention and Deletion

7.1 Free Tier Users

User Content associated with free-tier usage may be deleted after prolonged account inactivity. SeatCanvas will make reasonable efforts to notify users by email before deletion and provide time to take action.

7.2 Paid Users

Paid users are required to set an event date. User Content will be retained for 30 days after the event date. During this period, reminder emails may be sent to allow users to export or retrieve their data.

After this retention period, data may be permanently deleted.

SeatCanvas makes no guarantees regarding indefinite data storage.

7.3 Event Date Policy

To ensure fair usage and system stability:

  • Maximum Advance Date: You may set an event date up to 540 days (approximately 18 months) in the future.
  • Date Changes: After setting your event date for the first time, you are allowed one (1) free date change. Any further changes will require contacting customer support and may be subject to review.

8. Acceptable Use

You agree not to:

  • Use the Service for unlawful purposes
  • Upload content that infringes intellectual property or privacy rights
  • Attempt to reverse engineer, scrape, or disrupt the Service
  • Circumvent feature limits or payment requirements

SeatCanvas reserves the right to restrict or terminate access for violations.

9. Intellectual Property

The Service, including its software, design, branding, and logos, is owned by SeatCanvas and protected by intellectual property laws.

You may not copy, modify, resell, or distribute the Service or its components without written permission.

Exports (PDFs, CSVs, images) generated from your User Content belong to you.

10. Accuracy and Disclaimer of Responsibility

SeatCanvas provides visual representations and planning tools only.
Layouts, measurements, spacing, and scale may not be exact.

You are solely responsible for:

  • Verifying layouts with venues and vendors
  • Ensuring compliance with safety, capacity, and venue requirements

SeatCanvas is not responsible for event outcomes, venue issues, or real-world execution errors.

11. Availability of the Service

The Service is provided “as is” and “as available.”
We do not guarantee uninterrupted access, error-free operation, or permanent availability of any feature.

Maintenance, updates, or outages may occur at any time.

12. Third-Party Services

The Service may rely on third-party providers for hosting, payments, analytics, or infrastructure. SeatCanvas is not responsible for failures or issues caused by third-party services.

Third-party terms may apply.

13. Termination

You may stop using the Service at any time.

SeatCanvas may suspend or terminate access, with or without notice, if we believe you have violated these Terms, misused the Service, or created legal or operational risk.

SeatCanvas is not obligated to retain User Content following termination, subject to applicable law.

14. Limitation of Liability

To the maximum extent permitted by law, SeatCanvas shall not be liable for indirect, incidental, consequential, or special damages, including loss of data, revenue, or event-related losses.

SeatCanvas’s total liability shall not exceed the amount paid by you to SeatCanvas, if any, in the twelve (12) months preceding the claim.

15. Indemnification

You agree to indemnify and hold harmless SeatCanvas from any claims, damages, or expenses arising from your use of the Service or your violation of these Terms.

16. Governing Law and Jurisdiction

These Terms are governed by the laws of Mexico, without regard to conflict of law principles.

Any disputes shall be resolved in the competent courts of Mexico.
